Employee Self Service Help

Requirements

HR Services recommends and supports the Employee Self Service (ESS) being accessed with both Internet Explorer version 4.x or greater and FireFox Mozilla, and is best viewed with a desktop resolution of 1024 x 768. Full requirements are available in the FAQ.

A Quick Tour

To get into the ESS, you should always start with the gateway or entry page. You can get there from here by clicking on the 'Employee Self Service' link in the menu. From there, enter the ESS by clicking on the 'Enter Employee Self Service' link. You will then be presented with the ESS login page where you will be required to enter your Web User ID and password. Your ID and password are explained further in the FAQ. Click in the Web User ID box and type in your ID then click in the Password box (or hit Tab on your keyboard) and enter your password. Then click on the OK button.

You are allowed 3 attempts to get into the ESS after which your access will be temporarily disabled. The ESS will then tell you when you will next be able to attempt to log in. If you find that your access gets disabled before you reach your 3rd attempt, please contact your HR Personnel FacultyTeam immediately. All access to the ESS is logged and we will need to determine if anyone else has tried to get in using your Web User ID.

The first time you log on, you will be taken to the Change Password screen. Enter the password you just used, then type in a new one based on the information in the FAQ. Retype it again in the Confirm New Password box and then click on the OK button. Once you successfully logon, a welcome message will be displayed and there should be a menu like this displayed on the left hand side. If you don't see this menu, please consult the FAQ.

As you move your mouse over the menu items, you will notice that the background colour changes. Menu items with a yellow background will take you to another menu, a blue background represents an information page.

Next, click on Your Details in the left menu. In addition to the menu changing, you will see 2 new items on the top menu (areas with a black background are menu areas). There is a blue triangle (pointing up) at the top left hand corner, and a Main Menu link at the top right hand corner (next to an inoperative Help link). The blue triangle will take you up one level in the menu hierarchy and the Main Menu link will take you to the top level menu – no need to use them just yet.

As you are only one level down in the menu hierarchy at the moment, both of these links will take you to the same spot.

The left menu contains 3 items, Payroll Results, Leave, Personal Details and Change Password. To view your payslip, click on Payroll Results and then on Payslip View.

You will notice that next to the blue triangle in the top menu, the Personal Details menu item appears.

You can now see a list containing your latest payslip and some historical ones in descending order of date. Select the pay that you are interested in by clicking on the corresponding date in the Period End column. You will then be presented with a copy of the payslip you received (or will receive) for that pay period.

A Pay Period lasts 14 days. The Period End date is the Sunday after pay day Friday.

Next, click on the Personal Information link on the top menu. The left menu will give you the option to either view your Emergency Contacts or your Personal Contacts. Click on Personal Contacts and you will see a summary of the contact information Human Resources has recorded for you. To see the detail, click on Contact Details link – both the `physical` and postal addresses are available. Clicking on Emergency Contacts will display the contact details Human Resources has recorded for use in an emergency situation that pertains to you.

Other Things to Note

  • Please read the cache and logout information in the FAQ.
  • Always allow time for the current page to load. You should see the word Done at the bottom of your browser window when it has finished loading.
  • Clicking on the Reload or Refresh button on your browser will terminate your current session and will take you back to the initial ESS login page.
  • For security reasons, if you start a ESS session and then leave it inactive for 10 minutes or longer, the session will terminate. When the session terminates, the last page you accessed will remain on the screen, however when you try to click on another link within the ESS, you will be taken back to the ESS login page and a message will tell you that your current session expired.
  • The ESS is only available from 08:00 to 22:00 seven days a week. There will be a notice on the gateway page when the ESS is unavailable.
  • On some browsers, when you are in a ESS session and then you go to another website by either using your bookmarks/favourites, or by following a link embedded in an e-mail message, the new web site may be launched from within one of the ESS frames. Simply close your browser and try again.
