What is WebDrawer?
It is a web-based system that allows you to view position documentation in electronic format held in the UWA Records Management System, TRIM. For position documentation prior to 1999 you will need to contact HR.

What is TRIM?
TRIM is the University.s Records Management System. For access or enquiries regarding TRIM please contact the TRIM Help Desk on 6488 3023.

Do I need a separate login?
No, as long as you are connected to the University computer network you will not be asked for a separate username and password.

What do I need to have to be able to use the position documentation search?
You need to have access to the University’s computer network and be connected to the internet and have web browser software equivalent to Netscape or Internet Explorer version 4.x (or higher).
Your browser must be java/script enabled and able to accept cookies. You might also consider modifying your browser settings so you read directly from the internet rather than from your cache, so you get the most current version of the document. (Note: clicking on the Refresh/Reload button for your browser will terminate your current session and take you back to the login screen). The Position Documentation search is best viewed with a desktop resolution of 800 x 600.

Can I view other records in TRIM from Webdrawer?
No, you can only view position documentation through Webdrawer. If you need to access other corporate records that are stored in TRIM you will need to have TRIM loaded on your PC and request a TRIM account. You can download the request for access to TRIM form on the Archives & Records website (www.archives.uwa.edu.au).

I have TRIM on my computer, Can I view position documentation through my TRIM account?
Yes, if you already have a TRIM account you can view position documentation through TRIM on your computer, there is no need to use Webdrawer.

How do I view a position description once I have found it?
Once you have found the position description you require click on the icon to the left of the record title to view it. You will be asked whether you want to save it or open it. Click open to view the document. If you wish to see further details about the record click on the title of the record.

Can I logout after using the Position Documentation Search?
Currently, the Position Documentation Search has no button with which to log you out of your session. To exit the session close all WWW sessions.

What is the closing date for submissions to have the position classified?
Position description forms should be submitted electronically to Classifications at least two weeks before you want them advertised.

What is the closing date for submissions to have the position advertised?
As long as the position has been classified, HR Services can accept all requests to advertise up to 5pm on Friday for publication in the next weekend papers. Publication for journals may be delayed (please consult HR Services for details).
Please note that during Easter and Christmas the closing dates will be earlier.

How do I amend an existing position description?
Search for the relevant position description either through TRIM or WebDrawer. Open the document, and with your mouse, select and highlight all of the text. You can then copy this to Word (or similar application) and paste the document. Make any alterations and save the document.

The position has already been classified. Why do I have to send a copy electronically?
In order to set up the database of positions all existing positions must be received electronically.

What format should I use for the position description?
You can download the position description template at http://www.hr.uwa.edu.au/hr/forms_placeholder Do not change the format of the document. Fill in each field as required.
